Privacy Policy

1. What this policy covers

This Policy explains how Bevbase handles personal information when you visit our sites, create an account, use a brand workspace, upload data, communicate with us, or use CRM, analytics, AI, enrichment, and store-locator features.

2. Information we collect

  • Account details such as name, work email, organization, role, and authentication data.
  • Customer content such as depletion reports, account records, contacts, notes, tasks, opportunities, call recaps, recordings you choose to submit, and uploaded files.
  • Usage and device information such as pages viewed, feature interactions, browser type, approximate location derived from IP address, and diagnostic logs.
  • Billing details handled by our payment processor. Bevbase does not store complete payment-card numbers.
  • Business and professional information obtained from public sources or enrichment providers when you request research or enrichment.

3. How we use information

We use information to provide and secure Bevbase, process reports, operate CRM workflows, generate analytics and AI responses, perform requested enrichment, personalize workspaces, support customers, bill for the service, prevent abuse, and improve reliability and product quality.

4. Private brand data and the beverage graph

CRM information entered by a brand—including private notes, personal cell numbers, relationship details, and customer-supplied contact information—stays scoped to that brand's workspace and is not exposed to other brands.

Bevbase may maintain a shared commercial beverage graph using public, licensed, directly collected, or independently verified business and professional information. Customer corrections may improve shared records when independently verified or determined to be non-confidential business facts. We may use aggregated or de-identified information for benchmarking, research, product improvement, and industry-level insights when it is designed not to identify a customer, brand, or person or reveal a customer's private performance or relationships. We do not copy one brand's proprietary contact details, notes, communications, commercial terms, or sales records into another brand's workspace.

5. AI processing

When you use AI features, relevant prompts and workspace context may be sent to model providers to generate the requested result. We limit that context to what is needed for the request and configure providers according to the protections available for business API use. AI outputs are saved in your workspace when needed to provide conversation history or complete a requested action.

We may use customer information to develop, train, fine-tune, test, evaluate, and improve Bevbase-controlled matching, entity-resolution, classification, forecasting, recommendation, and similar systems used in our Services. Generalized improvements must not be designed to reproduce private customer information. We do not authorize third-party AI providers to train their unrelated general-purpose models on private customer information unless the customer expressly agrees.

6. When we share information

We share information with service providers that help us host, secure, analyze, communicate, process payments, map locations, enrich business data, and provide AI features. We may also disclose information when required by law, to protect rights and safety, during a corporate transaction, or at your direction. We do not sell personal information for money.

7. Retention and security

We retain information while your account is active and as reasonably needed to provide the service, meet legal obligations, resolve disputes, and maintain security. We use administrative, technical, and organizational safeguards designed to protect information, but no system can guarantee absolute security.

8. Your choices

You can update many account and CRM fields in the product. You may request access, correction, export, or deletion of personal information by contacting us. We may need to verify your identity and may retain limited information when required by law or legitimate security needs.

9. Children

Bevbase is a business service and is not directed to children under 13. We do not knowingly collect personal information from children.

10. Changes

We may update this Policy as our service and practices evolve. We will post the updated version here and provide additional notice when a change is material.
